Immigration Management ‘Si-Won’ is a multi-service consulting company that provides integrated solutions in immigration, accounting, insurance, business strategy, and education to support clients’ personal and professional growth. Currently, we are seeking an Executive Assistant to provide high-level administrative support to senior management and facilitate effective coordination across multiple departments and divisions.
Position: Executive Assistant
Wage: $37.00 – $39.00 per hour (Depending on working experience)
Working hours: 30 hours per week
Terms of Employment: Full-time, Permanent
Starting Date of Employment: As Soon As Possible
Position Available: 1
Benefits: 4% Vacation Pay + Five Paid Sick days per year
Work Location: #300-1111 Melville Street, Vancouver, B.C. Canada, V6E 3V6
Duties:
· Establish and coordinate administrative procedures and communication protocols on behalf of executives to support operations across multiple departments and divisions;
· Analyze incoming and outgoing correspondence, reports, and submissions, and prepare or coordinate the preparation of briefing notes, summaries, and reports for senior management;
· Prepare agendas, coordinate logistics, and organize executive, cross-departmental, and cross-divisional meetings, ensuring timely follow-up on action items;
· Conduct research, compile information from various departments and divisions, and prepare reports, presentations, and briefing materials for executive review;
· Liaise with department managers, division leaders, external stakeholders, and business partners on behalf of executives to facilitate communication and resolve operational issues;
· Coordinate projects and initiatives involving multiple departments and divisions, monitor progress, and ensure deadlines and objectives are achieved;
· Maintain executive records, correspondence, and corporate documentation, ensuring accuracy, confidentiality, and accessibility of information;
· Support executives in coordinating organizational priorities, strategic initiatives, and operational activities across departments and divisions.
Qualification:
· Completion of secondary school is required.
· A college diploma or bachelor’s degree in public administration, political science or a related discipline is preferred.
· A minimum of 3 years of experience in an executive assistant, senior administrative, or related office administration position is required;
· Strong organizational, communication, and time-management skills, with the ability to manage multiple priorities in a fast-paced environment;
· Working knowledge of English is required.
